The Loan Administration Unit Manager is responsible for the management of the Loan Administration Team performing due diligence and commercial real estate title tasks relative to commercial loan documentation and closing with oversight for the preparation of Commercial & CRE loan documentation. Loan Administration serves as liaison between lending unit, loan servicing, in-house counsel, and compliance. Responsibilities include development of internal procedures, process improvements and compliance with Bank policies and procedures and all applicable laws and regulations.


  • Responsible for the direct management a Loan Administration, including but not limited to; hiring, coaching, training, setting performance requirements and goals, developing and delivering scorecards results, metrics, key-man succession plans, and conducting performance reviews.
  • Monitors productivity and efficiency of department to meet department objectives per outlined business plans
  • Ensure Risk Mitigation in the processing of Loan Activities ensuring compliance with Business Loan Agreement, Promissory Note and Regulatory Compliance requirement
  • Implement necessary changes within the Loan Administration and Loan Documentation Units to comply with any new or changed laws. Included in this process are: BSA/BO,TRID, RESPA, SCRA, FACTA, GLBA, FDCPA, USAP, CRA, Reg B, etc.
  • Perform periodic review of all processes including 3 rd party vendor processing and audit of their process.
  • Respond to internal and external audit request and findings and work to remediate any identified noncompliant processes or areas of concern.
  • Prepare monthly Post Closing report with escalation to senior management
  • Proactively implements process improvements to ensure service quality meeting service level agreements and achieving Operational Excellence
  • Creates and maintains a collaborative work environment that facilitates the achievement of business plan objectives and meet with business partners on a periodic basis and provide overview of department and training as required
  • Communicates with commercial lending officers or other office personnel, in-house counsel, and credit supervisors as necessary to resolve any outstanding issues prior to loan documentation and closing
  • Respond to internal and external audit request and findings and work to remediate any identified noncompliant processes or areas of concern.
  • Work closely with Legal Counsel to effectively provide attorney engagement memo and processes
  • May review collateral support documents, including real estate collateral, to ensure appropriate collateralization pursuant to credit approval
  • May participate in the Loan Operations Risk Oversight meeting and monitors teams KPIs and KRIs
  • Perform the Compliance and Quality Self-Assessment for teams within Loan Administration, Loan Documentation, Loan Closing and/or Loan Funding.
  • Provide updates and training to staff on new commercial lending products and upcoming regulation changes and process improvements including documented procedures.
  • Provide guidance to Laser Pro and ILM System Administrator(s) to ensure product and processes have proper set up for proper documentation, reporting and servicing of loans.
  • Create Management reports as requested
  • Work on special projects as assigned by Manager related to the Data Accuracy and accurate compliance requirements.
    • Bachelor Degree in Finance, Accounting, Business Administration, or Economics.
    • Minimum 10 years of experience in the Loan Administration and Commercial Loan Documentation and closing industry
    • Minimum 5 years management experience
    • Strong knowledge of CRE & C & I lending
    • Strong knowledge of Financial and Reporting requirements within Loan Agreements
    • Strong knowledge of Commercial Loan Documentation, Loan Closing and Due Diligence
    • Strong knowledge of collateral perfection
    • Strong knowledge of rules, regulations and compliance requirements concerning loan documentation and servicing specific to the areas of oversight
    • Strong Customer service skills required
    • Strong analytical and problem solving abilities
    • Excellent verbal and written communication skills
    • Effective leader with strong project management skills
    • Firm understanding of current best practices in the Loan Administration Industry
    • LaserPro, FIS, Synergy, knowledge preferred
    • Proficient in Microsoft Office with advanced Excel skills required
    • Ability to build effective relationships as needed to effectively address issues and obstacles
